## Facts

- **4.9:** rating on Google
- **50,000+:** nonprofits and schools served

Direct answer: You manage attendees from the Attendee List in Campaign Hub. Add people, see bidder numbers, and check attendees in. Ticket buyers land here automatically.

Open the Attendee List from Campaign Hub. That is where you add people, see bidder numbers, and check attendees in.

Ticket buyers land here automatically. For tickets plus a live gala night, see [How to Run a Live Gala with Ticket Sales](https://charityauctions.com/help/how-to-run-a-live-gala-with-ticket-sales).

## Open the Attendee List

- Go to [charityauctions.com/bidder/dashboard](https://charityauctions.com/bidder/dashboard). This page is **Auctions I'm Managing**.

- Click **Manage auction** on the auction card. That opens Campaign Hub.

- In the left sidebar, under **Fundraising Modules**, click **Attendees**.

- You land on **Attendee List**.

If you are looking for a registrants list, this is it. Campaign Hub talks about collecting registrations. The menu label is Attendees, not Registrants.

Registration does not collect a mailing address. See Collect mailing addresses below.

## What you see on Attendee List

The page has two tabs: **All Attendees** and **Onboarding Flow**.

On All Attendees you can:

- Click **Import** to upload a list

- Click **Add attendee** to add one person

- See columns for Name, Contact Info, Ticket Type, Bidder #, Table #, Check-In Status, and Actions

If the list is empty, you will see **Add Your First Attendee**. You can also **Go to Tickets** to sell tickets so people show up here.

Bidder numbers and check-in status are on this list. They are not in a Settings tab.

## Collect mailing addresses

The Attendee List does not collect a mailing address. Check-in does not collect one either.

Ticket registration default fields are **First Name**, **Last Name**, **Email**, and **Phone**. Those live on **Ticket Sales**. See [Managing Tickets and Tracking Revenue](https://charityauctions.com/help/managing-tickets-and-tracking-revenue).

The platform collects a mailing address only during **online bidding**. That happens in two cases:

- The bidder chooses **shipping**. Then they enter a mailing address.

- You require a mailing address before they bid. Then they enter it before they can place a bid.

Items can offer shipping. On the item, open **Advanced Options**. Turn on **Allow Shipping**. See [How to Add an Item to Your Auction](https://charityauctions.com/help/how-do-i-add-an-item-to-my-auction).

Pickup settings are not an address-collection form. Do not use them to gather mailing addresses.

## How attendees get on the list

People show up on Attendee List in three ways:

- Ticket sales

- Import

- Add attendee

When someone buys a ticket, they appear on the list. You do not have to enter them by hand. If the list is empty and you need ticket sales first, click **Go to Tickets**.

## Add one attendee

Use this for someone who did not buy a ticket online, such as a sponsor or VIP.

- Open the **Attendee List** using the steps above.

- Click **Add attendee**. If the list is empty, click **Add Your First Attendee**.

- Enter the name and contact information.

- Save the record.

## Import an attendee list

Use Import when you already have a file of people.

- Open the **Attendee List**.

- Click **Import**.

- Upload your file.

- Review the rows and save.

## Bidder numbers

The **Bidder #** column is on the Attendee List. You assign and change numbers there.

You can update a bidder number before or during the event.

## Check in from the Attendee List

Use this when you are looking at names on a computer.

You can check in several guests at once.

- Open the **Attendee List**.

- Check the names of all the guests to check in.

- Click **Check In** once.

A running count shows how many guests are checked in as you go.

You can still check in one person. Find the row and use **Check-In Status**.

## QR and day-of kiosk check-in

For QR check-in at the door, use **Live Event Kiosk**.

- Stay in Campaign Hub.

- In the left sidebar, click **Live Event Kiosk**. The line under it starts with Check-in.

- Use that kiosk on a phone or tablet to scan QR codes and check people in.

### Merge two attendees (and their invoices)

Direct answer: You can merge two attendees into one primary attendee from the Attendees page. Choose the merge invoices option and their invoices combine into one. Both bidder numbers keep working, so each person can bid with their own number while their items and donations land on the single shared invoice.

Use a merge when two attendees should share one invoice, for example a husband and wife.

- Go to the Attendees page.

- Sort by last name.

- Select the two attendees.

- Click Merge.

- Select the attendee who has the credit card on file as the Primary attendee.

- Select the other attendee as the secondary attendee.

- Scroll down and select the option to merge invoices.

- Save.

The invoice merges with the attendees.

After a merge, both bidder numbers still work. Each person keeps bidding with their own bidder number, and the invoice automatically combines when you enter donations or items under either number.

## Before event day

- Open Attendee List and confirm names, ticket types, and table numbers

- Assign bidder numbers on the list

- Import any remaining people in advance

- Open **Live Event Kiosk** and test check-in before people arrive

- Have more than one volunteer ready at the door
