## Facts

- **250,000+:** events completed since 2007
- **$1B+:** raised for charitable causes
- **4.9:** rating on Google
- **50,000+:** nonprofits and schools served

Direct answer: You manage bidder invoices and payments from Invoices (left sidebar, TOOLS > Invoices & Payouts; heading: Manage Invoices).

This is where you look at bidder invoices and payments.

In the left sidebar, under **TOOLS**, click **Invoices & Payouts**. You land on **Invoices**.

The heading is **Manage Invoices**. The helper text is **View bidder invoices and manage payments**.

You see a list of all invoices created in that auction.

Status shows **Paid** or **Pending**.

If you connected your own Stripe, there is no **Payouts** tab. You still use **Invoices**. Click **View Invoice**. Each invoice lists its transactions.

Do not use the **Payouts** tab or a Stripe ACH email for invoice work.

## Open Invoices

- Go to your dashboard.

- Click **Manage auction** on the auction card. That opens Campaign Hub.

- In the left sidebar, under **TOOLS**, click **Invoices & Payouts**.

- You land on **Invoices**.

Note: There is no sidebar item named Post Event Tasks.

The page URL may still include /post-event-tasks/invoices .

## What you see on Invoices

The heading is **Manage Invoices**.

The helper text is **View bidder invoices and manage payments**.

The tabs are **Invoices** and **Payouts**. **Invoices** is selected by default. Invoice management does not require the **Payouts** tab.

If CharityAuctions collected the money, **Payouts** is still there. Leave it. This page is invoices.

If you connected your own Stripe, **Payouts** is not there.

You see a list of all invoices.

The list columns are **Bidder**, **Won Items**, **Invoice Total**, **Status**, **Card on File**, **Delivery**, and **Actions**.

Status shows **Paid** or **Pending**.

On the list you may also see **Send reminders (all unpaid)**, **Export All**, and **Filter**.

In **Actions**, click **View Invoice**.

## Invoice Details

**Invoice Details** opens.

In the lower right corner you see **Send Reminder**, **Mark as Paid**, and **Close**.

Use **Mark as Paid** for offline payments such as cash or check. That stops unpaid reminders for that invoice. Do not click it unless you mean to mark the invoice paid.

Use **Close** to leave Invoice Details and return to the list.

Admin invoices show the auction logo and the tax ID when those settings are turned on. That applies to individual invoices and to **Download all**.

The invoice Excel report includes invoices that have an attendee, and view-only wins that are tied to an attendee.

### Merged invoices

Direct answer: When you merge two attendees and select the merge invoices option, their invoices combine into one. Search the All Invoices page by bidder number to find it under either attendee's number.

Both bidder numbers stay active after a merge, so items and donations entered under either number combine automatically on the shared invoice. To merge attendees, see Managing Attendees and Event Check-In.

## Collecting payments from bidders

Bidders pay from their invoice. You do not collect through **Payouts**.

If you connected your own Stripe, click **View Invoice**. Each invoice lists its transactions.

See [What Payment Methods Are Supported?](https://charityauctions.com/help/what-payment-methods-are-supported).

## Reminders and unpaid invoices

On **Invoices**, the list-level button is **Send reminders (all unpaid)**.

CharityAuctions also sends **3 payment reminders in 3 consecutive days**. You do not set that schedule on this page.

Step by step: [How to Resend an Invoice to a Winning Bidder](https://charityauctions.com/help/how-to-resend-an-invoice-to-a-winning-bidder).

## Can bidders pay cash?

Yes. Cash is an offline payment method. The bidder pays your organization directly (cash, check, or another offline method you accept). CharityAuctions does not collect that cash for you.

After you receive the money:

- In the left sidebar, under **TOOLS**, click **Invoices & Payouts**.

- Click **View Invoice** on that bidder.

- In the lower right corner of **Invoice Details**, click **Mark as Paid**.

Mark the invoice paid so the system does not keep sending unpaid invoice reminders. CharityAuctions also sends **3 payment reminders in 3 consecutive days** for unpaid invoices. **Mark as Paid** stops that for the invoices you mark.

Do not click **Mark as Paid** unless you mean to mark that invoice paid.

## When the organization gets paid

This page is invoices, not payout timing. See [When Will I Receive My Auction Funds?](https://charityauctions.com/help/when-will-i-receive-my-auction-funds).

From the dashboard, click Manage auction. In the left sidebar, under TOOLS, click Invoices & Payouts. You land on Invoices. There is no sidebar item named Post Event Tasks. The page URL may still include /post-event-tasks/invoices.

### Do I need to send invoices manually?

No. After the auction ends, invoices are created for winning bidders. You review them on Invoices. You do not create invoices by hand on this list.

### I connected my own Stripe. Do I use the Payouts tab for invoices?

No. Invoices is where you look. If you connected your own Stripe, there is no Payouts tab. Click View Invoice. Each invoice lists its transactions. Do not use a Stripe ACH email for invoice work.

### Can my bidders pay cash?

Yes. Cash is an offline payment. The bidder pays your organization directly. Then open the invoice and click Mark as Paid in the lower right so CharityAuctions does not keep sending unpaid invoice reminders.

### Can I mark an invoice as paid manually?

Yes. Click View Invoice. Invoice Details opens. In the lower right corner, click Mark as Paid. Use this for offline payments such as cash or check. Marking it paid stops unpaid invoice reminders for that invoice.

### How do I resend an invoice?

On the Invoices list, the button is Send reminders (all unpaid). For one winning bidder, click View Invoice, then Send Reminder in the lower right of Invoice Details. See How to Resend an Invoice to a Winning Bidder. Do not use the Payouts tab.

### When does the organization get paid?

This page is invoices, not payout timing. See When Will I Receive My Auction Funds.

### Where is Post Event Tasks?

It is not in the left sidebar. In the left sidebar, under TOOLS, click Invoices & Payouts. The page URL may still include /post-event-tasks/invoices.

### How do I cancel a purchase?

If the item is a View Only Pre Bid item you entered by hand, you can remove it from the invoice. If it is an online auction item, Support must remove it, and only while the invoice is unpaid. If the invoice is paid, see How to Issue a Refund to a Bidder. For bids still on Bid History, see How to Remove a Bid, Cancel a Purchase, or Remove a Winner.

### How do I remove an item from an invoice?

View Only Pre Bid items entered by hand can be removed from the invoice. Online auction items need Support while the invoice is unpaid. See How to Remove a Bid, Cancel a Purchase, or Remove a Winner.
