How to Resend an Invoice to a Winning Bidder
If a bidder cannot find their invoice or needs another copy, you can easily resend it directly from your auction dashboard.
CharityAuctions makes it simple to follow up with winners and help them complete payment.
Steps to Resend an Invoice
To resend an invoice to a bidder:
- Open your auction in the admin dashboard
- In the left navigation menu, click Post Event Tasks
- Select Invoices
- Locate the unpaid invoice you want to resend
- Click the View Invoice button
- Scroll to the bottom of the invoice screen
- Click Resend Invoice
The system will immediately send a new invoice notification to the bidder with a secure payment link.
What the Bidder Receives
When you resend an invoice, the bidder will receive:
- A new email with their invoice and payment link
- A new SMS text message with payment instructions
This ensures they have multiple ways to quickly access and pay their invoice.
Automatic Reminder System
Even if you do not manually resend an invoice, CharityAuctions helps you follow up automatically.
For unpaid invoices, the system will send:
- Reminder emails every 24 hours
- Reminder text messages every 24 hours
- Up to three days of follow-up notifications
These automatic reminders help encourage timely payment without extra work from auction administrators.
Best Practices
If an invoice remains unpaid after reminders:
- Personally reach out to the bidder
- Confirm they received the invoice
- Offer assistance if they had trouble checking out
- Resend the invoice again if needed
